Berlin Athletic Boosters Association

Meeting Minutes

January 4, 2010
Kevin Murphy called the meeting to order at 7:00 pm

Secretary’s Report:  Minutes from the December 7, 2009 meeting were approved with one exception.  Clarification is needed from Jim Day for gross/net revenue from the NB/Berlin Thanksgiving –eve football game.  S. Garfi to request information from J. Day.

Treasurer’s Report: Total cash balance at January 4, 2010 was $66,531.14; Boosters General Fund balance is $31,136.19.

Donna Bovee to send note to Women’s Swim Coach (Amanda McCarthy) advising that a bill for $160.00 that Hadfields claims is past due will be paid from “Friends Of” funds unless directed differently.

The Actual versus Budget as of January 4, 2010 show Boosters ahead of budget.

 The Treasurer’s Report was approved.

Athletic Director’s Report:

Jim Day was not in attendance and there was no AD’s Report given.

Communications & Correspondence:

None

Committee Reports:

UCONN Fall Parking:

No update.  This item will remain on the agenda until a decision to commit to next year is made.

Nutmeg Kart Fundraiser:

No update.  This item will remain on the agenda so that once a tentative schedule for next spring/summer’s activities is available from the Lions, assignments for various groups can be discussed/set.

 Basketball Concession:

It was discussed and decided that the price of Gatorade will be raised from $1.50 to $2.00 for the winter basketball concession.  This price is in line with what Wrestling and Swimming sells Gatorade for.

Friends of Reports:

MEN’S BASEBALL:

Fundraising request for annual golf tournament was presented.  The event will be held at Timberlin on May 2 (rain date of May 9).  T-sponsors will be solicited beginning in February/March.  A time line for raising funds will be presented at the next Boosters meeting by D. Dellaquila.

 WOMEN’S BASKETBALL:

Shelia King confirmed that medicine balls were purchased (approval given at last meeting) and have been shipped.  She assured Boosters that balls would be stored with safekeeping in mind.

 WOMEN’S SOFTBALL:

Bart Bovee discussed the Alpha Prep fundraiser.  There will be a table at the January 12 Guidance Open House that showcases Alpha Prep.  Boosters were asked to spread the word that this course was available to BHS students preparing for the SAT’s.

 MEN’S FOOTBALL:

It was noted that the last team to win a state championship prior to Men’s Football winning in 2009 (Men’s Basketball) purchased rings for the team/coaches that were paid for by the parents of the team members.  At this time, there has been no official request from Men’s Football upon Boosters to fund any type of purchase to recognize the Men’s Football State Championship designation.

 Old  Business:

A vote was taken to adopt the Receipts and Expenditures Policy, as was presented at the December 7, 2009 Boosters Meeting.  The policy was approved.

 New Business:

Mr. George Synnott attended the Booster meeting to discuss the administration’s views on “Splinter Groups” that have purportedly been formed to raise monies to purchase rings for the Berlin High School Men’s Football team following the teams State Championship win.  Mr. Synnott stated that the administration does not approve of these type of groups and these groups do not have permission from the administration to advertise using the Berlin High School name.  He reminded Boosters that whatever by-laws that are currently in place under the Boosters charter to recognize any athlete/team are non-discriminatory in nature and must continue to be non-discriminatory – ie:  all teams must be treated equally and all team members must be treated equally.  Also, consistency in the way that all teams are treated is imperative.  Following his discussion, it was reiterated that ALL FUNDRAISERS THAT FRIENDS OF GROUPS WANT TO CONDUCT MUST BE PRE-APPROVED BY BOOSTERS.  Not only is this a requirement of the “Friends of” by-laws but it allows the proper insurance coverage to be in place for any fundraiser that is taking place.

Sharon Garfi will start an Excel Spreadsheet that shows each “Friends Of” group and their annual fundraiser.  Dates, if known, will be added and changed year on year.  Each “Friends Of” chairperson should e-mail Sharon with specific information about that team’s fundraiser prior to the next Boosters meeting (sg1911@comcast.net).

Next Meeting:  Tuesday, February 9, 2010 at 7:00 pm at the BHS Amphitheater

 Respectfully submitted,

 Sharon Garfi

Secretary
